This position will provide Administrative support for a legal department of IP (intellectual property) professionals -- IP Attorneys and Senior IP Specialists and Paralegals -- in Valeant’s Rochester, New York location.  This position will support the day to day administrative activities of the IP group while assisting in broader IP legal tasks and projects.


  • Coordinates and manages meetings, conferences, teleconferences, and travel for the team as needed; processes expense reports.
  • Provides general office support, including copying, handling mail, scanning documents, etc.
  • Generates legal letters, documents, and standard agreements.
  • Prepares and electronically files patent prosecution documents and patent applications.
  • Collects information to support IP projects.
  • Manages process for obtaining signatures on IP documents and required legalizations.
  • Assists with maintaining and managing IP prosecution dockets including checks to ensure due dates are met.
  • Assists with developing and implementing IP processes both internally and externally.
  • Assists with onboarding of various IP vendors and initiating new matters in Onit e-billing and matter management system.
  • Assists with trademark renewals and updating trademark records in internal database.
  • Assist with trademark watches.
  • Assists with simpler labelling review and trademark filings.
  • Supports others in IP department as needed through additional project work.


  • 3+ years of administrative support experience in an IP setting.
  • Experience supporting multiple team members.
  • Experience successfully managing multiple priorities.
  • Ability to apply sound discretion, judgment, and confidentiality.
  • Highest ethical standards.
  • Able to formulate and deliver crisp communication that can be understood at all levels.
  • Ability to develop strong relationships with internal and external partners.

  • Literate in MS Word, Excel, Power Point, IP management and docketing system, PACER, Sharepoint, e-billing system.
