Reporting directly to the Chairman and CEO, and also supporting the EVP, General Counsel, the Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and the General Counsel. He/she also serves as a liaison to the board of directors and senior management teams. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Responsibilities

In this role the successful candidate will be responsible for, but not limited to, the following:

  • Completing a broad variety of administrative tasks including managing dynamic and complex calendars of appointments/meetings; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex/global corporate travel and meetings by developing itineraries and agendas, arranging lodging and meeting accommodations, etc.
  • Managing day to day activities, time commitments and priorities
  • Reviewing correspondence and communications; responding directly on behalf of the CEO or General counsel, as appropriate; flagging communications requiring the CEO or General Counsel attention or identifying the right person in the Company to respond.
  • Directing, managing and guiding individuals, as needed, to accomplish specific activities
  • Communicating directly with Board members specifically related to Board and Committee meeting logistics
  • Briefing the CEO or General Counsel in advance about key issues and events; working closely and effectively with both to keep both well informed of upcoming commitments and responsibilities, following up appropriately. 
  • Prioritizing conflicting needs; handling matters expeditiously, proactively, with follow-through on projects to ensure successful completion, often with deadline pressures.
  • Working collaboratively with other administrative staff to ensure executive coverage

Qualifications

  • High school diploma required; college degree preferred 
  • Ten or more years of professional experience in an executive support or administrative position required with several years’ experience as an Executive Assistant to a C-Suite executive 
  • High proficiency in Microsoft Office suite (Power Point, Word, Excel etc.) and Microsoft Outlook required
  • Proven track record of handling highly sensitive information with complete confidentiality
  • Demonstrated aptitude to anticipate needs and solve issues quickly/effectively 
  • Strong verbal and written communication skills
  • Ability to work in a time-sensitive, fast-paced environment
  • Willingness to remain in contact after-hours/weekends as necessary and to work beyond core hours as required
  • Occasional overnight travel required, 4 – 5 times per year, on average
